Receptionist / Office Assistant

In person: Monday – Friday, 8am – 5pm

The Receptionist is the first point of contact for staff and visitors and serves as the face of the studio.  We require someone with 5+ years of experience.  We are looking for someone that is approachable, kind and friendly.  Someone that generally likes to be everyone’s assistant, if asked to help.

Responsibilities:

  • Greet guests and visitors and direct them to the correct point of contact or meeting room.
  • Answer the main phone line and direct calls to the correct contact or take messages and deliver.
  • Help staff with general studio questions, such as finding supplies and resources as needed.
  • Monitor security cameras and manage doorbell.
  • Ensure equipment (cameras/office car) is accounted for and checked out/reserved properly.
  • Reserve parking spots for guests as requested.
  • Ensure issues with the building are communicated to staff and landlord.
  • Receive travel requests, book travel & accommodation.
  • Ensure studio is neat, organized, and has adequate supplies and materials.
  • Lead event planning and coordination.
  • Set up happy hours, office lunches, and monthly office meetings, as needed.
  • Ensure kitchen is tidy and appropriately stocked (throughout the day and for meetings/events).
  • Assist with scheduling & preparing for meetings for internal and external parties.
  • Support Education Focus Team to schedule and coordinate presentations and Lunch & Learns.
  • Assist accounting department with ad hoc administrative assignments.
  • Manage SharePoint site with IT manager.

Skills:

  • Excel, Smartsheet, Word, and PowerPoint = Intermediate to Expert Level.
  • Expert experience with phones, copy machines, other business equipment.
  • SharePoint and Miro = working knowledge and will provide some training.
